Why Is Contact Information So Important?

A PNR without contact information is considered incomplete by most airlines. Without a valid phone number or email, the airline cannot notify the passenger if the flight schedule changes, if there is an overbooking situation, or if additional documents are required. Many carriers now automatically reject PNRs missing contact details — so this step is not optional, it’s mandatory for a smooth booking.

Step 1: Add a Phone Contact (AP)

The AP command (Added Passenger Contact) is used to add a phone number to the PNR. The general format is:

  • AP – The command to add a passenger contact
  • CAI – The city or airport code (Cairo in this example)
  • 01001234567 – The phone number (include country/city prefix)
  • -M – The type of phone: M for Mobile, H for Home, B for Business, A for Agency

You can add more than one contact number to the PNR — for example, a mobile for the passenger and a business number for the agency — by entering the AP command multiple times.

Step 2: Add an Email Address

Email is often requested alongside the phone number for e-ticket delivery and itinerary confirmation. The format is:

  • APE – The command to add an email address
  • The email must be typed in uppercase and use a valid domain

The SR command (Special Service Request) is used to add specific requests related to the passenger, such as a meal preference, wheelchair assistance, or extra baggage. The format is:

  • SR – The command to add a special service request
  • VGML – The 4-letter SSR code (Vegetarian Vegan Meal in this case)
  • -P1 – Applies to passenger 1 (use -P1, -P2, etc.)

Common SSR codes you’ll use as a beginner include:

  • VGML – Vegetarian meal
  • MOML – Muslim meal
  • WCHR – Wheelchair assistance (ramp)
  • WCHS – Wheelchair assistance (stairs)
  • UMNR – Unaccompanied minor
  • EXST – Extra seat

Step 4: Save the PNR Again

After adding all contact elements and service requests, you must save and retrieve the PNR again with the ER command so the changes take effect. Skipping this step means all your additions are lost when the session ends.

Common Mistakes Beginners Make

The most common errors with the AP and SR commands include: forgetting the phone type code (-M, -H, -B), typing the email in lowercase (Amadeus expects uppercase), missing the passenger reference (-P1) when adding an SSR, using an invalid SSR code, and forgetting to save the PNR after making changes. Another frequent mistake is adding the agency’s contact instead of the passenger’s — always make sure the AP element belongs to the traveler, not the travel agent, unless the airline specifically requests otherwise.
